The Integrative Life Network is growing and looking to add an Admissions Specialist to our team. This position is responsible for the Admissions process for incoming clients across our family of treatment centers: Integrative Life Center, Begin Again Institute and Boulder Recovery. While this position is located in Nashville, Tennessee and will office out of Integrative Life Center’s business office, this role will perform the responsibilities below for all of our treatment facilities across the country.

 

SUMMARY

Responsible for the admissions process that includes the following:

  • Answer and manage incoming calls and email inquiries
  • Collect and input data into CRM and EMR
  • Admissions case management and conversion

 

DUTIES/EXPECTATIONS

  • Direct responsibilities include fielding calls from various sources (e.g., Internet, direct referrals, etc.), converting calls to clients and then managing the intake and admission activities of the client.
  • Expected to participate in a rotating “on-call” schedule spanning nights and weekends, in addition to the work-week.
  • The Admissions Specialist provides telephonic and in-person assessments, provides initial contact with referral sources and potential clients, coordinates the referral and intake process, maintains follow-up communication with referral sources, families, patients and clinical program staff.
  • Creates approval requests and admissions summaries for incoming clients.
  • Work in partnership with the business development representatives to assist them in facilitating and onboarding their admissions.
  • Work with Housing, Clinical, Medical and Case Management to coordinate and ensure a smooth admission and transition into the program for all incoming clients.
  • Manages and scores inquiries in phone system in a timely fashion.
  • Inputs all relevant data into CRM database in a timely fashion.
  • Inputs all relevant data into EMR database in a timely fashion.
  • Maintain exceptional level of customer service; address and resolve complaints; serve as an example by providing excellent service to internal and external customers, employees and clients.
  • Performance in relation to ethics and professionalism

 

QUALIFICATIONS & REQUIREMENTS

  1. Competent person aged eighteen (18) or older.
  2. Excellent customer service skills
  3. Strong organizational skills; ability to prioritize workload and work independently
  4. Strong and effective oral and written communication skills

Integrative Life Center is growing! We’re seeking an experienced and motivated Alumni Coordinator to join our team, create and lead our alumni program.

As the Alumni Program Coordinator, you will provide support to Integrative Life Center alumni to improve upon clinical outcomes, increase engagement and alumni referrals. This will be done through meeting coordination, client outreach, digital and social marketing, and events specific to wellness, education and relationship building. This role requires interdepartmental communication and collaboration to ensure the program’s success.

The Alumni Program Coordinator should have a thorough understanding of Integrative Life Center’s treatment program and philosophy, admissions process and criteria, and a working knowledge of mental health and addictive disorders.

Responsibilities:

  • Work with the Director of Marketing to develop and execute an annual program plan that includes digital strategies, quarterly events and outreach initiatives to increase awareness and Alumni referrals
  • Work with the Clinical Managers, Director of Admissions and Case Managers on best practices for optimizing the client experience during treatment and after discharge that optimizes clinical outcomes
  • Create, organize and manage the Alumni contact database using Salesforce and ILC’s EMR system.
  • Plan and execute events that are specific to program goals, carried out within budget, and are well-attended
  • Create and manage ILC Alumni Facebook group
  • Create and submit social posts to Director of Marketing specific to Alumni events and content for sharing across ILC social channels
  • Manage the ILC app; inviting clients to join, posting content regularly and engaging with clients and Alumni in the app feed and direct messages
  • Build and strengthen connections with ILC Alumni through established communication channels (newsletter, Facebook group, texting, emails and phone calls)
  • Endorse the Alumni Program to clients currently in treatment, planning groups and meetings as needed
  • Gather information surrounding the recovery process of each Alumni
  • Ensure all aspects of contact with Alumni are documented in ILC’s EMR system
  • Create content for a monthly Alumni newsletter
  • Recruit speakers for Alumni meetings and events
  • Establish an Alumni Ambassador Program and help recruit ambassadors according to the required criteria
  • Maximize ILC’s digital presence through procuring online reviews
  • Perform other related duties and responsibilities as assigned, including special projects
  • Comply with all federal, state and accreditation regulatory requirements


Qualifications
:

  • Minimum 5 years’ experience in alumni program coordination, clinical outreach and/or event management

Job Title: Behavioral Health Administrative Scheduler
Reports to: Executive Clinical Director

Integrative Life Center is looking for a Behavioral Health Administrative Scheduler. This position performs clerical functions including, but not limited to ensuring patient flow, coordinating clinical schedules, and scheduling appointments. This role maintains calendar(s), and prepares correspondence for officers and directors as needed. The person in this role will manage and prioritize meetings, schedule clinical meetings and serve as primary contact for the Executive Director via telephone, e-mail, mail and visitors.

 

Scheduling Duties / Intake Expectations

  • Optimizes clients’ satisfaction and therapy by assisting with monthly scheduling.
  • Collects availability of contract staff to coordinate programming schedules.
  • Maintains report of client attendance records.
  • Helps oversee therapists’ schedules updated weekly.

We’re seeking a Case Manager to enhance the quality of clients’ treatment experience through coordination of services, maximizing client, family and referral source satisfaction and assuming responsibility for the full client care cycle. In concert with admissions and clinical staff, the case manager role includes assessing, planning, implementing, monitoring and evaluating actions required to meet the client’s treatment goals and objectives.


DUTIES/EXPECTATIONS

Coordinate and provide care that is safe, timely, effective, efficient, equitable, and client-centered including but not limited to:

Prior To and Upon Admission

  • Review admission summary
  • Assist with scheduling initial appointments for nursing assessment, H&P, psychiatric evaluation and Biopsychosocial assessment.
  • Consult with Director of Clinical Services to confirm therapist assignment.
  • Disseminate pertinent information to Residential Assistant Manager and housing staff.
  • Contact referral source to inform of client’s status upon admission and document contact in client’s EHR.
  • Collaborate with Admissions, Clinical, Medical and Residential staff to coordinate additional therapeutic services (ex. Ketamine treatment, Suboxone evaluation, etc.)
  • Check with Medical team to ensure client is cleared for any experiential activities and notify clinical team of any limitations.

Ongoing

  • Meet with new admits within 24-hours of admission (or first thing Monday morning if client is a weekend admission) to introduce self, explain your role, ensure that appropriate releases are in place for referral sources, providers who may need to provide collateral information and/or receive weekly updates, and significant family members.
  • Introduce ILC staff and communicate proper chain of command for requesting appointments and other communications within 24-hours of admission to housing.
  • Conduct weekly case management sessions with each client to discuss progress in treatment, plans for the week and continuing care/aftercare plans.
  • Set up outside appointments if needed, to include any continuing care/discharge appointments and document session in client’s EHR.
  • Coordinate individual client schedules – collecting all appointment times and making the weekly individual schedules.
  • Coordinate transportation with Residential Director and/or Lead RAs to ensure participation in scheduled and approved outside appointments.
  • Ensure weekly contact is made to referral source(s) and significant family members by assigned therapist.
  • Time permitting, may assist therapy staff with contacts.
  • Serve as a liaison and client advocate should client have concerns regarding treatment and assist in finding a solution.
  • Serve as a liaison to resolve problems related to client care, referral relations and family information.
  • Meet with Lead RAs and/or Residential Assistant Manager weekly to discuss clients’ needs.
  • Assist with mediating confrontations/clearings with staff and residents if community meeting is not appropriate.
  • Assist HR with any FMLA paperwork, making sure clients sign necessary forms, assist them in faxing, mailing documents as needed.
  • Maintain a master calendar of any deadlines and help remind clients of them as needed.
  • Attend and actively participate in weekly Treatment Team meeting.
  • If a client discharges to hospital, emergency department, psychiatric hospital, or relapses and is transferred to a higher level of care and/or is asked to leave for 72 hours, case manager will be alerted by Director of Clinical Services and/or Residential Assistant Manager and may assist in staying in contact or planning for client’s return.

Discharge Planning

  • Assist in creating a relapse prevention plan which includes at least a seven-day schedule for the first week after treatment.
  • Facilitate a discharge group weekly teaching how to locate meetings, support groups etc.
  • Give client an introduction to the ILC app.
  • Based on recommendations from clinical team, assist with establishing aftercare plan.
  • Assist clients with booking transportation, lodging, etc.
  • Coordinate transportation to airport if needed.
  • Ensure forwarding contact information is accurate and forward all mail to clients after discharge.


QUALIFICATIONS

  • Bachelor’s degree (BA) in Psychology, Counseling, Social Work, or related Human Services Field.
  • Master’s Degree preferred but not required.
  • Ability to read and interpret reports and other documentation.
  • Ability to write reports and effectively present information and respond to questions from staff, families, and referral sources.
  • Satisfactory health, strength and stamina to meet the physical, mental and emotional demands and stressors that position requires to include but not limited to: walking, running, standing, lifting, driving and assisting with verbal de-escalation.

Integrative Life Center is seeking a talented, experience, heart-centered Charge Nurse to join our growing medical team. This role will supervise the medical nursing staff and lead the team with confidence and integrity. ILC is not a medical-model treatment center and it’s vital that this person understand the nuances of holistic care and works collaboratively with other departments including Admissions, Clinical and Housing.

 

SUMMARY 

This role is responsible for coordination of medical services that includes:

  • Pharmacy management
  • Provide nursing care for residential clients
  • Nursing scheduling
  • Training of non-nursing staff
  • Coordinate medical care schedule
  • UDS review
  • Reconcile medications

 

DUTIES/EXPECTATIONS:

  • Direct client care, including the reporting of observed changes in mental status and/or physical condition, response to emergencies, safety risks.
  • Available for consultation and emergencies and when unavailable, informs appropriate individuals.
  • Coordinates with attending physicians and/or APNs to schedule appointments, ensure all admission orders are addressed and appropriate ancillary assessments and service are provided.
  • Manages scheduling to ensure medical coverage for all levels of care per license requirements.
  • Completes documentation in an efficient and timely manner, including nursing assessments, transcription of MD and/or APN’s phone orders, appropriate policies and procedures, medication administration, progress relative to the client’s treatment plan.
  • Inclusion of physical health services and other related issues in clients’ treatment plans.
  • Provides information and education to clients and staff regarding communicable diseases, medical aspects of eating disorder, addictions and trauma related disorders treatment in individual and group settings.
  • Administers TB screening/tests for clients and staff and documents results.

ADMINISTRATIVE DUTIES/EXPECTATIONS:

  • Properly QA client psychiatric evaluation and/or follow up summaries to determine what follow up is indicated and ensure that clients are receiving appropriate prescriptions and instructions in a timely manner, including proper destruction of medication.
  • Development and implementation of quality assurance for infection control, nursing, pharmaceutical, ancillary and laboratory services.
  • Attendance and participation in terms of treatment, planning meetings and professional staff meetings.

The LPN/RN or higher nursing licensure is responsible for providing the quality medical care for Integrative Life Center’s Residential and Partial Hospitalization Programs.

This position is open for day or evening coverage and PRN coverage will be considered. Part of the responsibilities include quality client care, shift report, medication logs, communication with staff, nursing assessments for the oversight of the onsite Residential Assistants and participates in all nursing daily or nightly duties and monthly meetings. This includes ensuring timely implementation of orders given, reporting of client needs, and documentation.

This position will report on a variety of functions including safety, quality improvement needs, and compliance standards of daily client care. This position will also perform direct services to clients including medication administration, education of prescribed medications, processing of labs with clients, executes portions of the initial treatment plans under the supervision of the Director of Nursing or Registered Nurse if designated by the DON and group facilitation as needed. This position will also attend weekly check in meetings with the Director of Nursing to provide information and education to ensure all services are delivered appropriately within each scope of practice.

 

Duties and Responsibilities include (but are not limited to):

  • Collection, tracking and maintaining client history, recording new data each shift
  • Collecting and documenting client vital signs (blood pressure, pulse, respirations, temperature) daily and as needed, reporting any abnormalities to the Director of Nursing

  • Observing clients self-administer their own medication as ordered, monitoring doses and client response

  • Collecting urine drug screens and client weights as directed, documenting and reporting results

The RA assists in client orientation to the ILC facility and program, often being the primary point of contact during residency and providing emotional support and assistance to clients in crisis (under the direction of our highly capable and experienced clinical team). You will participate in transporting and supervising clients to and from their activities, monitor their attendance and participation in those activities, and assist with any self-administration of their medications. Reports To: Executive Clinical Director

Integrative Life Center is growing! We’re seeking a Social Worker to enhance the quality of clients’ treatment experience through coordination of services, maximizing client, family and referral source satisfaction and assuming responsibility for the full client care cycle. In concert with admissions and clinical staff, the social worker role includes assessing, planning, implementing, monitoring and evaluating actions required to meet the client’s treatment goals and objectives.


DUTIES/EXPECTATIONS

Coordinate and provide care that is safe, timely, effective, efficient, equitable, and client-centered including but not limited to:

Prior To and Upon Admission

  • Review admission summary
  • Assist with scheduling initial appointments for nursing assessment, H&P, psychiatric evaluation and Biopsychosocial assessment.
  • Consult with Director of Clinical Services to confirm therapist assignment.
  • Disseminate pertinent information to Residential Assistant Manager and housing staff.
  • Contact referral source to inform of client’s status upon admission and document contact in client’s EHR.
  • Collaborate with Admissions, Clinical, Medical and Residential staff to coordinate additional therapeutic services (ex. Ketamine treatment, Suboxone evaluation, etc.)
  • Check with Medical team to ensure client is cleared for any experiential activities and notify clinical team of any limitations.

Ongoing

  • Meet with new admits within 24-hours of admission (or first thing Monday morning if client is a weekend admission) to introduce self, explain your role, ensure that appropriate releases are in place for referral sources, providers who may need to provide collateral information and/or receive weekly updates, and significant family members.
  • Introduce ILC staff and communicate proper chain of command for requesting appointments and other communications within 24-hours of admission to housing.
  • Conduct weekly case management sessions with each client to discuss progress in treatment, plans for the week and continuing care/aftercare plans.
  • Set up outside appointments if needed, to include any continuing care/discharge appointments and document session in client’s EHR.
  • Coordinate individual client schedules – collecting all appointment times and making the weekly individual schedules.
  • Coordinate transportation with Residential Director and/or Lead RAs to ensure participation in scheduled and approved outside appointments.
  • Ensure weekly contact is made to referral source(s) and significant family members by assigned therapist.
  • Time permitting, may assist therapy staff with contacts.
  • Serve as a liaison and client advocate should client have concerns regarding treatment and assist in finding a solution.
  • Serve as a liaison to resolve problems related to client care, referral relations and family information.
  • Meet with Lead RAs and/or Residential Assistant Manager weekly to discuss clients’ needs.
  • Assist with mediating confrontations/clearings with staff and residents if community meeting is not appropriate.
  • Assist HR with any FMLA paperwork, making sure clients sign necessary forms, assist them in faxing, mailing documents as needed.
  • Maintain a master calendar of any deadlines and help remind clients of them as needed.
  • Attend and actively participate in weekly Treatment Team meeting.
  • If a client discharges to hospital, emergency department, psychiatric hospital, or relapses and is transferred to a higher level of care and/or is asked to leave for 72 hours, case manager will be alerted by Director of Clinical Services and/or Residential Assistant Manager and may assist in staying in contact or planning for client’s return.

Discharge Planning

  • Assist in creating a relapse prevention plan which includes at least a seven-day schedule for the first week after treatment.
  • Facilitate a discharge group weekly teaching how to locate meetings, support groups etc.
  • Give client an introduction to the ILC app.
  • Based on recommendations from clinical team, assist with establishing aftercare plan.
  • Assist clients with booking transportation, lodging, etc.
  • Coordinate transportation to airport if needed.
  • Ensure forwarding contact information is accurate and forward all mail to clients after discharge.


QUALIFICATIONS

  • Bachelor’s degree (BA) in Psychology, Counseling, Social Work, or related Human Services Field.
  • Master’s Degree preferred but not required.
  • Ability to read and interpret reports and other documentation.
  • Ability to write reports and effectively present information and respond to questions from staff, families, and referral sources.
  • Satisfactory health, strength and stamina to meet the physical, mental and emotional demands and stressors that position requires to include but not limited to: walking, running, standing, lifting, driving and assisting with verbal de-escalation.
  • This position requires use of “Handle with Care” protective hold procedures as a last resort for protection of residents and staff.
